Timecard fixes before cutoff

Timecards are where paycheck truth is born. A missing punch on Tuesday can still haunt a deposit two weeks later if nobody approves a fix before export. This note is for hourly and shift workers who need corrections to ride the right run, not the next one by accident. Treat the time portal like payroll's front door.

Common punch errors

Missed clock-in, missed clock-out, wrong job code, and meal breaks that auto-deduct are the usual suspects. Mobile punches fail in parking garages with weak signal. Write actual start and end on paper when the app fails, then fix the same day.

Rounding rules snap punches to quarter hours at some employers. A seven-minute grace is policy, not software spite.

Working through lunch without a waiver can trigger automatic deductions even when you ate at the desk. Know your state meal rules and company attestations.

Badge swipes at a different entrance than your assigned clock can duplicate or drop punches. Note which reader you used when asking for a fix.

Trainees should confirm whether they punch under their own ID or shadow codes. Shadowing mistakes duplicate hours or erase them.

Before cutoff

Open your timecard the morning of cutoff, not after dinner. Managers approve in batches; late entries stack behind others.

If the portal locks, email your manager with structured times and ask them to enter on your behalf before export.

Set a phone reminder for cutoff noon in your time zone if your property spans regions.

If you work in two departments, verify both managers approved before you assume export is clean.

Managers need readable evidence, not novels. Shift schedule PDF plus one sentence wins.

For cross-trained workers, name the department code you actually worked. Payroll allocates labor dollars by code.

After approval, refresh the timecard screenshot. Approved is a state, not a vibe.

Keep a photo of the posted paper schedule when digital systems fail during outages.

When payroll replies, attach their answer to your personal notes so you remember which run carried the fix.
