PTO balances when numbers drift

Paid time off screens love to surprise people after a long weekend. The balance you remember on Friday is not always the balance on Monday. Accrual rules, caps, and pending approvals all move the number. This article explains how to read drift without assuming the system is broken or hacked.
Accrual math
PTO accrues on schedules: per pay period, per hour worked, or annual grants front-loaded in January. A balance can drop when accrual catches a cap or when a carryover expires. Read the policy PDF for caps - screens rarely explain them.
New hires sometimes wait 90 days before accrual starts; the balance stays zero until then. Promotions can switch you to a new accrual tier mid-year.
Negative balances appear at employers that allow advance vacation. You will repay with future accrual or paycheck adjustments per policy.
Floating holidays and fixed company closures may not draw from PTO at all. Read whether those hours are paid separately on the holiday calendar.
Hours vs days
Some systems show days while payroll pays hours. A day might mean eight hours - or your contracted average. Misreading units causes I only took two days but lost sixteen hours moments.
Partial-day requests need the right code: PTO versus personal versus sick where distinctions exist. Family leave may be a separate bucket entirely.
Blackout dates for hospitality and retail are policy, not software bugs. The portal may block requests even when balance looks healthy.
Shift workers should confirm whether PTO requests reduce scheduled hours or overlap with unpublished schedules. Managers sometimes remove you from the grid only after approval.
Proof habits
Screenshot balance before and after an approved trip. If return shows wrong hours, you have timestamps.
Calendar invites are not PTO approval. Submit in the system your employer audits.
When balance disagrees with payroll after return from leave, open one ticket with dates of leave and screenshots - do not debate in chat DMs alone.
Export accrual history if the portal offers it. A CSV beats ten screenshots when you need to show a trend over months.
Ask whether pending requests reduce available balance before approval. Some systems hide that rule until you cancel.
